Ghost Dance Troupe – Terms and Conditions 2026-2027
By enrolling your child in Ghost Dance Troupe, you agree to the following terms and conditions:
1. Data Protection and Privacy
We take data protection seriously and will never share parents' or children’s personal information with third parties.
All personal details provided upon registration are stored securely and used solely for administrative and emergency purposes.
2. Emergencies and Safety
In the event of an emergency, we will contact the relevant emergency services before notifying parents/carers if necessary.
If emergency services are not required, we will contact the child’s emergency contact in the first instance.
A register is taken at the start of each class for health and safety purposes.
3. Social Media and Photography
We use social media to celebrate and promote the achievements of our troupe.
Group and individual photos may be posted, but we will never share children’s names or personal details.
If you do not wish for your child to appear in photos or videos, you must inform us in writing before the start of the term.
We will not post images or videos of any child whose parent/carer has opted out.
4. Performances and Video Recording
All performances will be recorded for promotional and archival purposes.
Children who are unable to perform for any reason will not be able to take part in that performance with the group.
As performances are recorded, children whose parents have opted out of video recording will not be able to participate in performances.
5. Payments and Refunds
Payment must be made in full before the start of each term to secure a child’s place.
Refunds will only be issued if a valid medical certificate is provided or in exceptional circumstances at our discretion.
If a refund is not possible, we offer the option to exchange for:
- An alternative day at our camp
- A credit towards another term
No refunds or exchanges will be given for missed classes unless agreed in advance under special circumstances.
6. Cancellations
On the rare occasion that a class needs to be cancelled by Ghost Dance Troupe, we will either:
- Refund the cost of that session, or
- Offer a makeup class at a later date.
7. Fee Adjustments
Ghost Dance Troupe reserves the right to change class fees at the start of a new term. Any changes will be communicated in advance.
8. Class Observations
We do not facilitate adults, family members, or friends of our dancers to watch or sit in on classes unless this has been agreed upon in advance by a member of staff.
9. Anti-Bullying Expectations
Ghost Dance Troupe has a zero-tolerance policy for bullying.
We expect all children to be kind, respectful, and inclusive towards their peers.
Any behaviour that is deemed as bullying (verbal, physical, or emotional) will be addressed immediately. Parents may be contacted, and continued participation may be reviewed if necessary.
10. Conduct and Behaviour
We expect all children to show respect towards their peers, instructors, and staff.
Disruptive or inappropriate behaviour will not be tolerated. If behaviour becomes an ongoing issue, parents will be contacted, and continued participation may be reviewed.
Ghost Dance Troupe fosters a positive and inclusive environment where all children are encouraged to support one another.
11. Health and Safety
The safety and well-being of all children are our top priority.
Risk assessments, safeguarding policies, and DBS checks** are in place for all members of staff.
Parents may request copies of our safeguarding policy and risk assessments if required.
Holiday Camp – Additional Terms & Conditions
Activities During Break & Lunch Times
As part of our holiday camp experience, children may take part in a variety of supervised recreational activities during break and lunch times. These activities are separate from our dance sessions and may include, but are not limited to:
- Gymnastics equipment
- Climbing equipment and obstacle activities
- Age-appropriate scooters and balance bikes
- Team games and outdoor play
All activities are supervised by appropriately trained members of staff, and children will be encouraged to use the equipment safely and responsibly.
If you do not wish for your child to participate in any of these activities, you must notify us by email before the start of your child’s first day at camp. We will ensure all relevant staff are informed and alternative activities will be provided where possible.
Prizes & Treats
Throughout the week, children may receive small prizes or sweet treats as rewards for participation, teamwork, effort, positive behaviour, or achievements.
We are committed to catering for children with allergies, intolerances, and dietary requirements. Please ensure these are declared on your child’s booking form and kept up to date. Where appropriate, suitable alternative prizes or treats will be provided.
Medical Information
Parents and carers are responsible for ensuring all medical conditions, allergies, dietary requirements, and emergency contact details are accurately provided at the time of booking and updated if anything changes before or during camp.
Appropriate Clothing
Children should wear comfortable clothing suitable for dance, movement, and physical activity. As some activities take place outdoors (weather permitting), appropriate footwear should be worn, and we recommend bringing a waterproof coat and applying sunscreen before arrival on sunny days.
Personal Belongings
Whilst every care is taken, Ghost Dance Troupe cannot accept responsibility for the loss or damage of personal belongings brought to camp. We recommend that valuable items, toys, electronic devices, and large sums of money are left at home unless specifically requested for an activity.
Behaviour
We pride ourselves on creating a safe, inclusive, and enjoyable environment for all children. Children are expected to behave respectfully towards staff, other children, and equipment. Persistent unsafe or disruptive behaviour may result in a parent or carer being contacted and, in serious cases, the child being collected early from camp without a refund.
